Customer Service Training Malaysia: Customer Service Excellence
Complaint handling, service recovery, and frontline professionalism
Customer Service Excellence is a one-day programme for frontline and service teams covering complaint handling, telephone and written etiquette, and service recovery. Redefine Learning Asia builds the scenarios from the client’s own complaint log where one is provided, so participants rehearse against the situations they actually face rather than generic examples.
When This Programme Is the Right One
The symptom: Complaints are rising and frontline staff either escalate everything or argue back.
Start from the symptom your team is showing rather than the programme name — buying in the wrong order usually convinces leadership that training does not work. Compare every programme side by side in our symptom-to-programme comparison table.
Learning Outcomes
- Participants handle a complaint to resolution without escalating it or becoming defensive.
- Service recovery is practised as a sequence, so staff know what to do after something has already gone wrong.
- Telephone and written responses follow a professional structure appropriate to Malaysian business context.
- The team agrees which complaint types can be resolved at frontline level without escalation.
Programme Agenda
| Time | Module | What Happens |
|---|---|---|
| 9.00am – 10.30am | What customers actually want | Separating the transactional fix from the emotional acknowledgement, and why solving only one fails. |
| 10.45am – 12.30pm | Complaint handling | A repeatable sequence, drilled on real complaints from the client’s own log where available. |
| 1.30pm – 3.00pm | Service recovery | What to do after a genuine failure, including what staff are and are not authorised to offer. |
| 3.15pm – 4.30pm | Telephone and written etiquette | Tone, structure, and response templates for Malaysian business communication. |
| 4.30pm – 5.00pm | Escalation boundaries and close | The team maps which cases stop at frontline and which genuinely need a manager. |
